How do you order a sworn translation?

Most of our clients are expats and internationals who need an official translation that a Dutch authority will accept, such as the IND or their gemeente. The four steps below explain what happens from the moment you upload your document to the moment the finished translation reaches you.

  1. 1

    Upload document

Upload your document through our secure form. A clear scan or phone photo is enough; we accept PDF, Word and high-quality images.

    • Secure SSL-encrypted upload
    • All common formats accepted
    • Immediate confirmation by email
  2. 2

    Receive a quote

You receive a fixed quote by email, with no obligation. The price you see is the price you pay, and you confirm only when you are ready.

    • Quote with no obligation
    • Clear price breakdown
    • No hidden costs
  3. 3

    Payment

Pay safely online with iDEAL | Wero, credit card, PayPal or bank transfer. We start the translation as soon as your payment comes through.

    • iDEAL | Wero, Visa, Mastercard, PayPal
    • Secure payment environment
    • Invoice by email
  4. 4

    Translation

An Rbtv-registered sworn translator who works in your language pair translates the document and prepares the sworn statement.

    • Rbtv-registered translators
    • Specialists by subject field
    • Sworn before the District Court
  5. 5

    Quality check

A second sworn translator reviews the work for accuracy, terminology and legal wording before the stamp and signature go on.

    • Two-person review
    • Terminology check
    • Layout and formatting check
  6. 6

    Delivery

You receive the translation as a PDF by email. A printed copy by registered post within the Netherlands is available as an option.

    • PDF within 5-7 working days, faster with express
    • By registered post on request
    • Track and trace available

How do you safeguard quality at each step?

Every sworn translation goes through a two-person check: one Rbtv-registered translator does the translation, and a second sworn translator reviews the terminology, layout and legal wording before the stamp and signature are added.

Each translator also works under the Bureau Wbtv code of conduct and carries professional liability insurance. If a Dutch authority rejects a translation we produced on quality grounds, we correct it at no charge under our acceptance guarantee until it is accepted.

How safe is my document during upload and handling?

Uploads run over an SSL-encrypted connection (HTTPS/TLS 1.3) and documents are stored on EU servers. Client documents are deleted automatically within 30 days of the order being finished, in line with the GDPR.

Every translator is bound by the duty of confidentiality under article 32 of the Wbtv. For highly sensitive material, documents can be exchanged with extra encryption through an end-to-end portal on request.
