What is a sworn Polish translation?

A sworn Polish translation is an official translation between Dutch and Polish made by a translator who has been sworn in by a Dutch court and listed in the Register of Sworn Interpreters and Translators (Rbtv). The translator binds a signed statement, an official stamp and a signature to a copy of your document, which is what lets Dutch authorities such as the IND, your municipality, the courts and universities treat it as the official version.

What is the difference between a certified and a sworn translation?

In the Netherlands the two terms describe the same thing. A certified translation here means a sworn translation: one produced by a court-sworn, Rbtv-registered translator who attaches a signed statement and an official stamp. In some other countries a certified translation can be a simple signed declaration without that legal standing, so when a Dutch authority asks for a certified translation it means the sworn version.

If you are sending a document abroad, check with the receiving authority whether they need the sworn translation legalised with an apostille as well.

How much does a sworn Polish translation cost?

A sworn Polish translation costs from €59 for the first page, with each following page at €75. That base price covers the translation, the sworn statement, the official stamp and our acceptance guarantee. A digital copy (PDF by e-mail) is an optional add-on for €9.95, and registered shipping within the Netherlands is €9.95, free from €299. Standard delivery is 5 to 7 working days, with express available as an option.

Sworn Polish translations — where and why they are used

Polish is the official language of Poland, with around 38 million speakers there and large communities abroad, including in the Netherlands. Demand for sworn Polish translations from the Netherlands is steadily high because of labour migration: Poland has been an EU member since 2004, and many Polish workers are employed here in construction, horticulture and logistics.

Poland has its own system of sworn translators (Tłumacz Przysięgły, appointed by the Polish Ministry of Justice). For incoming Dutch documents used in Poland, a Dutch sworn translation combined with an apostille (Poland joined the convention in 2005) is accepted by every Polish government body. For some court proceedings, Polish judges additionally ask a Polish Tłumacz Przysięgły to check the translation.

A specific legal point: Poland's civil-law system differs from the Dutch one. It has no "BV" but a "Spółka z ograniczoną odpowiedzialnością" (Sp. z o.o.) with different registration requirements. Translating a Dutch KvK extract for entry in the Polish court register (Krajowy Rejestr Sądowy) is a matter of mapping concepts rather than translating word for word.

Common use cases

  • Polish registry office (USC) — marriage with a Dutch partner
  • Polish Voivode — residence registration for family working in the Netherlands
  • Krajowy Rejestr Sądowy — Dutch BV to a Polish Sp. z o.o.
  • Polish university — Erasmus and diploma recognition
  • Polish social security (ZUS) — submitting a Dutch employment history

Frequently asked questions: Polish translation

What is a sworn Polish translation?
It is an official translation between Dutch and Polish made by a translator sworn before a Dutch court and entered in the Register of Sworn Interpreters and Translators (Rbtv). The translation is bound to a copy of your document and carries the translator's signed statement and official stamp, which is why Dutch authorities accept it.
Who can make a sworn Dutch–Polish translation?
Only a translator listed in the Rbtv for the Dutch–Polish pair, a register kept by Bureau Wbtv on behalf of the Ministry of Justice and Security. We work with Rbtv-registered Polish translators, so the translation meets the requirement of the IND, your gemeente or the court that asked for it.
How much does a sworn Polish translation cost?
From €59 for the first page, then €75 for each following page. Polish starts at €59 because the €39 rate applies only to Dutch with English or French. That price covers the translation, the sworn statement, the official stamp and the acceptance guarantee. A digital copy (€9.95), registered shipping (€9.95, free from €299) and an apostille (€99 per document) are optional.
How long does a sworn Dutch–Polish translation take?
Standard delivery is 5–7 working days from confirmation, at no extra charge. The order form offers express delivery in 2–3 working days for +50% (minimum €55) if you need it sooner. Same-day delivery is limited to Dutch with English or French, so it is not available for Polish.
Do I need a sworn Polish translation for the IND?
The IND requires foreign-language documents in a residence or naturalisation application to be translated by a sworn (Rbtv) translator into Dutch, English, French or German. A sworn Dutch–Polish translation of your Polish document meets that requirement, and our acceptance guarantee confirms it will be accepted.
Will a Dutch gemeente accept a Polish birth certificate translation?
Yes, when it is a sworn translation by an Rbtv-registered translator. Gemeenten and Burgerzaken need a sworn translation to register a Polish birth or marriage in the Basisregistratie Personen. Some offices also want an apostille on the Polish certificate, which we can arrange for €99 per document.
Do I also need an apostille for use in Poland?
Poland and the Netherlands are both party to the Hague Apostille Convention, so a Dutch document used in Poland often needs an apostille rather than full legalisation. Whether it goes on the original, the translation or both depends on the Polish office. Netherlands Worldwide explains the rules, and we can add the apostille for €99 per document.
Is a sworn translation the same as a certified one in the Netherlands?
For Dutch use, yes. The legal term here is sworn (beëdigd) translation by an Rbtv-registered translator, and 'certified translation' is the English label international clients use for the same document. There is no separate certification tier, so an office asking for a certified or official Polish translation means a sworn one.
